For employees
Saving, remembering, and manually sending every receipt is tedious. Documents get lost before they can be reported.
Scontrino.ai helps Italian accountants collect the out-of-pocket expenses their clients make while traveling. Clients simply photograph a receipt in WhatsApp or forward an email; the platform brings every item into one review workflow.
Saving, remembering, and manually sending every receipt is tedious. Documents get lost before they can be reported.
They must chase missing receipts and details, apply the right criteria, and turn a growing pile of documents into accurate reports.
People need a shared, real-time view of what was submitted, categorized, approved, and still needs attention.
Scontrino.ai streamlines the connection between clients and accountants: people can submit receipts immediately through familiar channels, while the platform keeps every expense organized, classified, and ready for review or reporting.
Design principles
The approach
I designed around familiar behavior: sending a WhatsApp message, forwarding an email, or reviewing an expense in a dashboard. Every decision removed an unnecessary step while making status, ownership, and the next action unmistakably clear for clients, employees, and accountants.
What the system does
Clients photograph and send a paper receipt from the same app they already use.
Digital receipts enter the platform by forwarding the original message.
Every employee can see submitted expenses, their category, and the amount their accountant has approved for reimbursement.
Clear states show what arrived, what was processed, and what still needs attention.
Project structure
I made the service tangible at every layer: the public-facing story, the channels people use to submit expenses, and the platform where teams manage the work.
I created the public-facing landing page, campaign materials, graphics, and explanatory manuals used to introduce Scontrino.ai to accountants. These assets made the offer easy to understand, test, and share before the product was in their hands.

I identified what each channel could do well, then designed the submission and recovery flows around it. This included Meta configuration, WhatsApp message templates, email forwarding behavior, copy, cadence, confirmations, and clear requests when information was missing.

I designed the login, accountant workspace, client and employee dashboards, and every section needed to manage expenses. A key focus was making authentication and organization member management feel effortless, so companies could regularly invite employees and each person could immediately understand their submitted and approved expenses.

I documented the visual system as well as the product logic behind it: actions, events, edge cases, status conditions, and the hints, confirmations, or error messages each one should trigger. That gave the build team a clear foundation for a resilient backend and a focused, understandable interface.

How it was built
The design work defined how Scontrino.ai should feel and behave. From there, I moved into full-stack development: building the ingestion foundation, connecting the external services, implementing the interface, and testing the complete flow with real inputs.
I turned the research and service design into build-ready flows, states, permissions, interface components, and clear behavior for every submission and review step.
We focused on ingestion first, building just enough of the WhatsApp and email pipeline to test our core assumption as quickly as possible: could clients submit receipts easily through channels they already used?
I implemented the reusable interface components in React and Next.js, then connected the dashboards, feedback states, and review flows to the backend services.
I gathered beta-user feedback, shipped updates in short cycles, and set up GitHub Actions to run tests before Vercel deployments so every service change could be released safely and its impact evaluated.
Working architecture
WhatsApp and email remain simple for the person submitting a receipt. Behind them, each event moves through the same backend, data, and product layers.
Meta’s WhatsApp Business API receives photographed receipts while Amazon SES captures forwarded digital receipts.
Webhooks validate each event, normalize the payload, and send every document into one processing path.
The database keeps receipts, users, organizations, ownership, and processing status connected and queryable.
The product turns that shared data into clear dashboards and next actions for employees and accountants.
Today · Closed beta
Scontrino.ai is currently deployed in a closed beta. The product is already helping accountants and their clients spend less time coordinating, chasing receipts, and organizing expense submissions.
